The Opportunity
Grow Health is seeking an organized, compassionate, and proactive Medical Office Assistant (MOA) to join our growing healthcare team. This role supports physicians, nurses, and allied health professionals in delivering high-quality patient care while helping maintain efficient clinic operations and exceptional patient experiences.
This is an excellent opportunity for an MOA who enjoys working in a collaborative, fast-paced primary care environment. Experience with maternity or pediatric populations is considered an asset, but not required — we are happy to train the right candidate.
Core Responsibilities
Patient & Administrative Support
- Send Ocean messages and patient documents accurately and promptly.
- Return incomplete forms requiring additional patient information.
- Book, reschedule, and coordinate patient appointments appropriately.
- Ensure patients are informed of uninsured/private-pay fees and expected timelines.
- Support same-day access scheduling and effective appointment triaging.
- Pre-scan upcoming schedules and adjust appointments as needed based on visit type.
- Coordinate urgent same-day imaging appointments when requested.
- Prepare charts for insurance requests and chart transfers.
- Ensure physician review and sign-off prior to record releases.
Clinical & Back Office Support
- Prepare examination rooms and maintain clinic cleanliness and organization.
- Stock exam rooms and clinic supplies regularly.
- Prepare rooms and trays for procedures and physical exams.
- Ensure swabs and specimens are labelled correctly with date and time.
- Assist with heights, weights, blood pressures, and pediatric measurements as required.
- Support coordination with nursing staff for injections, wound care, triage callbacks, and other clinical workflows.
- Ensure operational continuity during physician absences or locum coverage.
Scheduling & Clinic Flow
- Help maintain efficient physician schedules and clinic flow.
- Support same-day access availability where possible.
- Coordinate appointment changes, cancellations, and patient rebooking.
- Assist with schedule adjustments during physician illness or urgent changes.
- Communicate effectively with patients and staff regarding scheduling updates.
General Operations
- Escalate supply shortages, IT issues, or operational concerns promptly.
- Maintain professionalism and confidentiality in all patient interactions.
- Support a positive and collaborative clinic culture.
- Contribute to ongoing process improvement and operational efficiency.
Qualifications
- Minimum 2–3 years experience as a Medical Office Assistant in a healthcare setting preferred.
- Experience with OSCAR EMR and OCEAN considered an asset.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Ability to work collaboratively in a team-based environment.
- Professional, compassionate, and patient-centered approach to care.
- Comfortable working in a fast-paced primary care environment.
